Host map your subdomain for the Approver's portal

By default, the address of the Approver's portal is a SweetHawk subdomain, (app.sweethawk.com). However, you can update this domain name to be your own custom URL, such as approve.mycompany.com

To also update the senders email address of the approval email, please see our guide Changing the email sender domain of your Approve emails

The workflow for changing the address consists of the following steps:

1. Updating the domain name in the Approve app

2. Setting the DNS records

1. Updating the domain name in the Approve app

Decide on the subdomain that will be best suited for the Approval portal and add it to the Branding of the Approve app.

To do this, open the Approve app and click Branding from the left menu.

Then click the Portal tab and under Custom landing page domain enter in the desired subdomain and then click Save settings.

The admins of the app will then be sent an email with the DNS records to set for that subdomain.

2. Setting the DNS records

With the subdomain set, you should now have an email from us with the DNS records to set with your domain registrar or hosting provider.

Note: You need to create CNAME & TXT records on your domain registrar's website to create the alias. If you have any concerns, consult your system administrator, if you have one, before proceeding.

To make your subdomain an alias of the default survey landing page address:

  1. Sign in to your domain registrar's or hosting providers control panel.

(Use the login name and password that you created when you registered the domain name.)

  2. Look for the option to change DNS records.

The option might be called something like DNS Management, Name Server Management, or Advanced Settings.

  3. Locate the CNAME & TXT records for your domain.

  4. Do one of the following:
    • If you don't have a CNAME or TXT record for your subdomain yet, look for an option to add a new record.
    • If you already have a CNAME or TXT record for your subdomain, look for an option to edit the record.
  5. Add or update the CNAME and TXT records provided in the email, with the host name listed first and the record second. For example:

The UI and terminology may vary depending on your registrar or hosting provider, but the concepts are the same.

Note: It may take time for changes to the DNS system to be implemented. Typically, it can take anywhere from a few hours to a day, depending on your Time To Live (TTL) settings in the registrar's control panel. In the example above, the TTL is 14,400 seconds, or 4 hours.

Ok that's it, we will automatically detect your DNS periodically and send another email once the Approver's portal is active.

Then when an approver responds to a request for approval they'll be taken to the landing page on your new subdomain.
