Enable personal calendars
First, an administrator for the Calendar app will need to enable Personal calendars from the Settings menu if this is not enabled already.
Create a personal calendar
Then to create a personal calendar, as an agent in Zendesk, open the Calendar app on the top right of Zendesk and then click the calendar drop down box on the left. At the very end of the calendar list will be the option to '+ Add or edit calendars'.
In the new popup, click Add calendar on the top right. Then:
- Name your calendar.
- Select a color.
- If required, set any pre-defined workflows.
- If required, create calendar mappings. (please see below)
Click Create calendar.
Calendar mappings
Any event created by the Calendar app can be pre-defined with ticket data for the event subject, description, location and guests.
When creating or editing a calendar, click the Calendar mapping tab at the top.
Define the ticket field information that will be pre-filled when creating an event. You can easily add ticket fields by clicking the + button on the right of the field, otherwise all Zendesk placeholders are accepted.
Connect external accounts
Once the calendar has been created, you can also sync events to and from your personal calendar through Google and Microsoft. Please follow our Connect Google & Microsoft accounts to Calendar guide to complete this setup.
Calendar permissions
By default, all personal calendars will be restricted so that only the agent who created it will be able to read or write to it. However, admins have full access to be able to change this in the main calendar app here:
Then click the personal calendar you would like to change and update the read & write fields to update the permissions.
